INSTRUCTIONS FOR AUTHORS


All papers must be submitted electronically using the Conference's Online Registration & Paper Submission System. Detailed instructions are provided at the registration site. Complete all required fields in the proper format when registering your paper. The Online Paper registration lists how to input all Author Names, Paper Titles and Keywords. Be sure to input the 200-word abstract describing the basic principles of the paper in the area provided online. You can “cut and paste” the abstract paragraph from your paper into this area. This paragraph will be used in describing your paper in the Final Program.

The Paper Deposit Fee must be paid with each paper submission. The Technical Program Committee will not review papers submitted without payment of a deposit.

Only PDF files will be accepted. If you do not have a copy of Adobe Acrobat, you can use the free online service at the Adobe website http://www.adobe.com/products/tryadobe/main.html

BEFORE you convert to PDF you must set the Adobe Distiller Job options to the following settings. To do this, please follow the instructions below:

1. Open Adobe Distiller
2. Select Settings
3. Select Job Options
4. On the GENERAL Tab be sure to select:

Compatibility = Acrobat 3.0
Page Range = ALL
Binding = LEFT
Resolution = 600 dpi
Default Page Size =
Units = inches
Width = 8.5
Height = 11.0


5. On the COMPRESSION Tab be sure to select:
COLOR IMAGES =
Bicubic Downsampling to 150 dpi
For images above 600 dpi
Compression = Automatic
Quality = High
GRAYSCALE IMAGES =
Bicubic Downsampling to 150 dpi
For images above 600 dpi
Compression = Automatic
Quality = High
MONOCHROME IMAGES =
Bicubic Downsampling to 600 dpi
For images above 600 dpi
Compression = CCITT Group 4
Compress Text and Line Art

6. On the FONTS Tab be sure to select
Embed All Fonts
Subset embedded fonts when percent of characters used is less than = 100%
When Embedding Fails = Cancel Job
EMBEDDING
Select BASE 14 FONTS

7. On the COLOR Tab be sure to select
Settings File = NONE
Color Management Policies = Leave Color Unchanged
Intent = Default
Device-Dependent Data=
Preserve Overprint Settings
Preserve Under Color Removal and Black Generation Settings
Preserve Transfer Functions


8. On the ADVANCED Tab be sure to select:
OPTIONS=
Allow PostScript file to Override Job Options
Preserve Level 2 copypage Semantics
Illustrator Overprint Mode
Convert gradients to smooth shades
DOCUMENT STRUCTURING CONVENTIONS (DSC) =
Resize Page and Center Artwork for EPS Files

When using PDF you MUST

  • FORMAT for US Letter sized paper (8.5x11.5 inches). Detailed information regarding margins, fonts, etc can be found by reviewing the "Paper Format Instructions"
  • FOLLOW the paper format requirements for margins, fonts, spacing, etc. These requirements are needed to publish a consistent and quality product.
  • EMBED all fonts and graphics in your WORD document BEFORE converting to PDF. If fonts are not embedded, parts of your document (particularly mathematical equations, tables and graphs) will be distorted or disappear from the document.
  • ELIMINATE all international characters or fonts. Any unusual characters or fonts will create an error in the system and prevent the Technical Program Members from viewing the paper. It will also make the paper unavailable for publication in either the CD Rom or Print version of the proceeding. To check your text once you convert your file to PDF;

    Highlight PDF your text using Control A
    Copy your PDF text using Control C
    Paste the text into a Word Document using Control V

You can now arrow down through the text to ensure the complete text is there.

  • ALL equations, figures and other materials must be submitted "in-line" as a single file. Attachments and linked files cannot be handled.
  • PROOF-READ your work at a different computer than the one you created it on. Better yet, forward your document outside of your work place to review. Most formatting problems are more easily seen when reviewing outside the environment where the paper was created.
  • Select DISPLAY UPLOAD (using Netscape) once you have uploaded your paper into the paper registration system. This will allow you to make sure your paper was uploaded properly and will be viewable to the Technical Program Committee during the review process. Only those papers that can be fully viewed will be reviewed by the Technical Program Committee.

REMINDER

Authors are responsible for submitting their paper in the required format. All papers that are accepted will be published as submitted by the Author. The Conference is NOT responsible for editing or correcting errors in the paper.

The Copyright Form should be completed and signed. The original copyright form signed by the Presenting Author should be mailed to the EMBS Conference Department at the address listed below. Original copyrights must be received in order for your paper to be published in the proceeding.

Checklist of tasks to be completed by Author for Paper submission and Conference registration

1. Register your attendance for the conference
2. Register your paper (input Title, Authors, 200-word abstract and Keywords) and select a theme
3. Be sure your Graphics follow the following format:

o TIFF image
o 600 dpi (1 bit/sample) for line art (graphics, charts, drawing or tables)
o 220 dpi for photos and gray scale images

4. Upload your complete 4 page (maximum) paper in PDF and pay the paper deposit by 9 April 2004
5. Download, complete and mail the IEEE Copyright form to the EMB Conference Department by 9 April 2004
6. Notification of Paper Acceptance will be announced by e-mail 1 June 2004
7. Authors must complete conference registration and payment by 1 July 2004 to ensure publication of their accepted paper in the Conference Proceedings
8. Select the necessary Audio-Visual needs at the paper registration area for your presentation by 1 August 2004
